Frequently Asked Questions with Answers

Here I have gathered answers to the most common questions about what a wedding coordinator does and how a wedding in Italy works when you hire me. Remember that all weddings are tailored together with you.

When do we need to book our wedding in Italy?

Tuscany is very popular as a destination wedding, so if you are looking for a special place and a special date, you should probably book at least 1 1/2 years in advance. 

Why should you contact a wedding coordinator and why me specifically?

Organizing a wedding abroad can be very time-consuming and you may also encounter language problems. Planning a wedding should be fun and not filled with stress and obligations, so delegating to a professional wedding coordinator with a lot of experience is, in my opinion, worth its weight in gold. Unfortunately, the wedding day does not come back, so you should be able to enjoy it to the fullest. And why should you choose me specifically? I have lived in Tuscany for over 20 years and worked as a wedding coordinator for 15 years, so I dare to say that I have a lot of experience and have also been able to build up a large network with incredibly skilled collaborators/suppliers. I am also married to an Italian named Matteo, and we have two children, Ella Amelia and Emil Dante, so I have the Italian culture behind me as well. So what I want to convey with my weddings is the genuine Tuscany but with a Scandinavian touch when it comes to flowers/decorations, etc.

What do we need to arrange ourselves for the wedding? 

Rings, clothes, plane tickets, possible rental car, and invitations. These are the major parts, then you might want to make a welcome letter and place it in the rooms along with a welcome gift (e.g., a bottle of wine or a bottle of olive oil) or set up a website for your guests. 

Are you as a wedding coordinator present throughout the entire wedding day?

I am there all day coordinating, from early morning to well into the party. I also usually attend the evening before or the day after the wedding, depending on the couple’s program and details. 

How many years of experience do you have in coordinating weddings? 

I have been organizing weddings since 2010, so it is soon 15 years that I have been doing weddings in Italy. 

What does it cost to have a wedding in Tuscany?

I tailor all my weddings, so the final figure naturally depends on the couple’s wishes for details, the number of guests, and of course the choice of venue. However, I usually say that you should expect at least about 30,000 euros for 50 people plus accommodation if you like the style of my weddings.

When is the best time for a wedding in Italy?

My personal favorite months are June and September, as it tends to be pleasantly warm. May is also usually very nice, as is the beginning of October. July and August tend to be very hot, plus August is the big holiday month for Italians, so it is crowded with Italians everywhere, and prices rise.

Do you help with planning the honeymoon after the wedding if we want to vacation in Italy?

I am happy to do that. Since I have lived in Italy for over 20 years, I have extensive experience of Italy as a whole. 

Do you only organize weddings or also, for example, corporate events?

I organize all kinds of events, including birthdays and corporate events. 

Can you charge your guests to attend the wedding?

Many of my couples let the guests pay for accommodation and airfare. That is the gift to the bridal couple. Then I have couples with higher budgets who cover both accommodation and airfare, or they might pay for one night out of two. Everything naturally depends on the budget the couple has. 

Do you have tips on Italian wedding traditions that we can include in our wedding?

It is quite common for the Italian bridal couple to sit alone at a small rectangular table during the wedding dinner. Several of my couples have adopted this, but then we usually add a Swedish tradition as well by placing two empty chairs in front of them so that guests can come up and talk to the bridal couple. In Italy, there is, of course, a lot of focus on food at a wedding, and there are usually many courses. So to manage everything, they usually serve a sorbet in the middle of the dinner to help with digestion so that you can then handle eating the entire menu. 

Can you help us organize activities for our guests, such as wine tastings or brunch, during our wedding in Italy?

Absolutely, I can do that. I dare to say that I take care of everything during the wedding days, including wine tasting, etc. 

Can the wedding menu be adapted for special dietary needs, such as vegan or gluten-free options?

Absolutely, that is no problem.

Do you help with finding a wedding photographer or videographer?

I take care of all kinds of details and book suppliers such as hair/makeup for the bride and guests, photographer/videographer, music, ice cream cart, etc., etc. I dare to say that I can arrange most things related to the wedding in Italy.

Photographer vs. videographer?

If you have the budget for a videographer, I absolutely think you should book one. Beautiful photos are, of course, wonderful to have after the wedding, but also getting a film with all the speeches or maybe just a reel or shorter video of 4/5 minutes that summarizes the entire wedding weekend and that you can bring out whenever you want is definitely worth its weight in gold. 

What activities can we plan in connection with the wedding ceremony?

If you choose a 3-day or 4-day wedding, the days go by quite quickly. My couples usually want to include some activities, but my answer is almost always the same: when guests arrive at the wonderfully beautiful place, they are more than happy to just be there and enjoy the fantastic surroundings/views, the pool, good food and drink, and above all, to be with the bridal couple and the guests. But if you still want to do something and there is time, a wine tasting at the venue or visiting a nearby winery is always appreciated. You can also taste Tuscan cheeses and olive oil.

Can you help arrange accommodation for our wedding guests?

If additional accommodation is needed for any guests who do not fit where the wedding is to be held, I will of course help find a nearby place for these guests. 

Are there different prices for a wedding in Italy depending on the season or day of the week?

High season is usually between May and the end of September/beginning of October (this can of course vary a bit from place to place), so if you can imagine getting married before or after these months, you get a better price. Even during high season, you get a better price if you can schedule the wedding on a weekday. 

What do your services as a wedding coordinator include?

I usually turn the question around and say instead what I do not do. As I said, I take care of most things when it comes to the actual wedding in Italy. Rings and clothes are of course handled by the bridal couple themselves. Likewise, plane tickets and booking rental cars (I book private chauffeurs). 

What is the setup with flowers when you hire me?

I usually ask for some inspiration pictures from the bridal couple, and then together with the florist, I create a quote based on the couple’s inspiration pictures, plus we add suggestions that we think are beautiful and that we think fit the specific venue where the couple is getting married. After that, we work together to create something that suits you and your wishes.

Can we taste the food/catering in some way before the actual wedding?

You are more than welcome to come down to Tuscany before the wedding to meet me, visit the venue you have chosen, and taste the wedding menu.
